If you’ve recently hired a remote employee in the Big D, first of all: congrats! Dallas is a hub of incredible talent, from tech wizards in Uptown to creative powerhouses in Deep Ellum. But as any HR professional or business owner knows, the "honeymoon phase" of a new hire usually comes with a side of paperwork. Specifically, the dreaded Form I-9.
If your company is based in New York, California, or even just Austin, but your new rockstar hire lives in Dallas, you’re faced with a logistical puzzle: How do you physically verify their documents without jumping on a plane?
The rules around I-9 compliance have shifted quite a bit over the last few years, and keeping up with what's legal (and what will get you a hefty fine from ICE) can feel like a full-time job.
At DFW Trusted Solutions, we spend our days helping businesses navigate these exact hurdles. Whether you need a mobile notary or an authorized representative to handle the paperwork, we've seen it all.
Here are 5 things every remote employer should know about I-9 verification in Dallas as we move through 2026.
1. You Don't Have to Be There in Person (But Someone Does)
One of the most common misconceptions we hear is that an HR manager must be the one to look at an employee's passport or driver's license. If that were true, remote work would be a lot more expensive!
The U.S. Citizenship and Immigration Services (USCIS) allows employers to designate an "Authorized Representative" to fill out Section 2 of the Form I-9 on their behalf. This person can be almost anyone: a friend, a neighbor, or a professional service.
However, using a "friend or neighbor" is a bit like letting your cousin fix your car’s brakes. Sure, they might get it right, but if they don't, the consequences are messy. Most savvy remote employers hire a professional service like ours. In Dallas, we act as that authorized representative. We meet your new hire at a coffee shop, their home, or a co-working space, verify their documents, and ensure Section 2 is filled out perfectly.

2. The "3-Day Rule" is Non-Negotiable
If there’s one thing that keeps HR directors up at night, it’s the I-9 timeline. Federal law is very specific about this:
Section 1: Must be completed by the employee no later than their first day of work.
Section 2: Must be completed by the employer (or their authorized representative) within three business days of the employee's start date.
If your employee starts on a Monday, Section 2 needs to be done by Thursday. If you miss this window, you’re technically out of compliance. When you're managing a remote hire across state lines, those three days go by in a flash.
This is why having a local partner in Dallas is a game-changer. Instead of mailing documents back and forth or hoping the employee finds someone to help, you can simply schedule a mobile visit. We work around your hire’s schedule to make sure that "3-day clock" never runs out.

3. Remote Verification is Only for E-Verify Users
You might have heard about "Remote Online Verification" where you just jump on a Zoom call to look at the documents. While this is a real thing, there’s a catch.
As of 2026, the Alternative Procedure (using live video to verify documents) is only available to employers who are enrolled in E-Verify and in good standing.
If your company uses E-Verify, you can perform the verification via video, but you still have to follow strict steps, including keeping copies of the documents and checking a specific box on the Form I-9.
But what if you aren't on E-Verify? If your company hasn't made that leap, you must have a physical inspection of the documents. This is where DFW Trusted Solutions comes in. We provide that "boots on the ground" presence in Dallas to perform the physical inspection that the law requires for non-E-Verify employers.
4. The "Notary" Confusion in Texas
This is a big one, so listen closely! In many states, employers ask for a "Notary" to handle the I-9. While we are professional notaries, I-9 verification is not a notarial act in the state of Texas.
What does that mean for you?
We do not put a notary seal on the I-9 form. (In fact, doing so can actually be a violation of state rules because the I-9 doesn't have a notary certificate).
We sign the form as your Authorized Representative, not as a Notary Public.
When you hire us, you aren't paying for a "seal": you're paying for our expertise in document identification and our status as a trusted third party. We know which documents are "List A" (like a U.S. Passport) and which are "List B and C" combinations (like a Driver’s License and Social Security Card). We ensure the document numbers and expiration dates are recorded correctly so your files are audit-ready.

5. Paper vs. Digital: Dallas is Going Green
Whether you use a digital onboarding platform like Workday, BambooHR, or good old-fashioned paper, the verification process remains the same.
Many remote employers now use "Electronic I-9" systems. If that's the case, we can often log into your portal as a guest or your hire can pull up the portal on their laptop during our meeting. If you're still using paper, we can scan and email the completed form directly to your HR department before we even leave the meeting.
Dallas is a fast-paced city, and we know that remote employers need digital-first solutions. We’re happy to adapt to whatever software your company uses to keep your onboarding process seamless.
